Travel CRM Software: What Agencies Should Look For

How to choose travel CRM software when your sales happen on WhatsApp: shared inbox, assignment, AI replies, campaigns, reports, Arabic and real costs.

Ask a travel agency owner where their CRM is and many will point at a phone. One WhatsApp number, two or three people taking turns, prices in screenshots and follow-ups in someone's memory. It is not laziness. Most CRMs were built for email and sales pipelines, and travel customers do not send emails. They send a voice note at 11 p.m. asking whether the hotel is walking distance from the Haram.

So when agencies search for travel CRM software, they are really asking a narrower question: how do we run our WhatsApp properly, as a team, without losing customers? This guide answers that, with a checklist you can take into any demo. We make one of these products, the Travora Hub CRM, and we will tell you where it fits and where it does not.

Why a normal CRM does not work for travel

A generic CRM assumes a lead fills in a form, a salesperson emails them, and a deal moves through stages over weeks. Travel works differently:

  • The enquiry arrives on WhatsApp, often several from the same family across different numbers.
  • The customer wants a price now, not a call tomorrow.
  • The price depends on dates, room sharing, children's ages and which supplier has availability tonight.
  • The peak is brutal: Ramadan, school holidays and Hajj season can triple your chat volume in a week.

A CRM for a travel agency has to start from the chat, not from a form. Everything else, from stages to reports, should be built around that conversation.

The checklist: what good travel CRM software does

1. One shared inbox for every WhatsApp number

Your whole team should work every chat from one list, on computer and phone, with each chat showing which of your numbers it came in on. Look for views like Unreplied and Waiting for a person, so nobody has to scroll to find who has been ignored. If the tool only supports one number, or only one person at a time, it is a phone with extra steps.

2. Assignment, so two people never answer one customer

The most expensive mistake in a shared WhatsApp is two staff quoting two different prices to the same family. Good software assigns each chat to one person, by hand or automatically in turn (round robin), lets colleagues leave internal notes the customer never sees, and lets them @mention each other when they need help.

3. Answers with your real prices, not a menu

Customers are tired of bots that answer every question with the same five buttons. The useful kind of automation knows what you sell. Connected to your booking website, a travel CRM can reply with live hotel, flight and Umrah package prices, with your markup already inside, and hand the chat to a person the moment the customer asks. Without a website, it should still be able to send your saved offers: a photo, a price, the dates and what is included.

Ask every vendor one question about their AI: can it invent a price? The only acceptable answer is no. It should answer only from your prices, documents and offers, and pass the chat to a human when it is unsure.

4. Campaigns that follow WhatsApp's rules

Your past customers are your cheapest next sale. When Ramadan dates are announced, the agency that messages its Umrah customers first usually fills its group first. On WhatsApp that means Meta-approved templates, sent only to customers who opted in, with an easy opt-out. Campaigns need an official WhatsApp Business number through Meta's API, and Meta charges for marketing templates by country, so ask whether the CRM adds a markup on top of Meta's price.

5. Stages, tags and reports

You cannot improve what you cannot see. Stages show where each customer stands, from new enquiry to quote sent to confirmed booking. Tags group them: Umrah December, corporate, group of 10+. Reports answer the owner's real questions: how fast do we reply, who handled how many chats, and where do leads stop?

6. Arabic, and every language your customers speak

If you sell in the Gulf, Arabic is not a translation option, it is the main language of the business. Test the interface in Arabic, right to left, on a phone. And because travel teams are often multilingual, translation helps: each agent reads messages in their own language, and voice notes arrive as text so they can be answered in a busy office.

7. A phone app that actually rings

Your team will not sit at a desk all day. The CRM should install on Android and iPhone and send instant notifications, even with the app closed, and ring only the person a chat is assigned to, so the right phone buzzes instead of everyone's.

8. Moving your history

If you already use another platform, ask whether your chats and contacts can come with you, with their original dates. A customer who writes again next season should find last year's conversation waiting.

What travel CRM software costs

Pricing is where most comparisons go wrong. Many WhatsApp CRMs charge per team member, which looks cheap for one user and gets expensive fast. Ask for the price at your real size: say 8 people and 3 numbers. Typical platforms often land somewhere between $159 and $279 or more a month at that size, based on their published pages, before Meta's own message fees.

For comparison, the Travora Hub CRM is $49 a month for a team of 3 with one number, $119 a month for 8 people and 3 numbers (with the AI assistant, campaigns and reports), and $239 a month for 20 people and 7 numbers with an Android app in your own name. Meta bills its WhatsApp fees to you directly with no markup, and every plan starts with a 7-day free trial without a card.

Official WhatsApp API or a linked phone?

There are two ways to connect a number. An official WhatsApp Business number through Meta's Cloud API supports automation, AI replies and campaigns, and Meta charges for some message types. A normal number linked by QR code, the way WhatsApp Web works, has no Meta fees and is answered by your team, without automation or campaigns. Many agencies start with a linked number and move to an official one when they want campaigns. We explain the difference in detail in WhatsApp Business app vs API.

A first week with a travel CRM

  1. Day 1. Connect your number and invite your team with their Google accounts.
  2. Day 2. Set up assignment, and decide who covers evenings and weekends.
  3. Day 3. Save your top ten offers and the five answers you type most: bank details, visa documents, check-in times.
  4. Day 4. Create your stages and tags, so every chat has a place.
  5. Day 5. Turn on the assistant for routine price questions, if you have an official number.
  6. Day 7. Open the reports. Your reply time is now a number, and you can start improving it.

Questions agencies ask

Is a WhatsApp CRM only for big agencies?

No. A team of two or three gains the most, because they have the least time. The Starter plan exists for exactly that size.

Can a travel CRM work without a booking website?

Yes. You can add your offers and prices directly, and your team sends them in a tap. With a Travora Hub booking website connected, the assistant also quotes live hotel, flight and Umrah prices.

Does it work for agencies in Dubai and Saudi Arabia?

Yes. The interface is Arabic-first with English, and agencies across the Gulf use it daily. See our guide to travel booking software in Dubai for the wider set of tools UAE agencies use.

Can customers book inside WhatsApp?

They choose inside WhatsApp and pay on your website. Every hotel or package card opens that exact option on your site, already priced, so payment, confirmation and vouchers stay in one place.
