WhatsApp AI CRM: Turn Your WhatsApp Into a 24/7 Booking Machine
Your customers already message you on WhatsApp. Now every message gets an instant answer with real prices, and your team gets one shared inbox for the chats that need a person.
Think about where your bookings really start. Usually not on your website, but on WhatsApp: a message at midnight asking about Makkah hotels for the last ten nights of Ramadan, a family asking for flights to Jeddah, someone forwarding a competitor's price at 6am. Every one of those is a customer ready to spend money, and every hour they wait is an hour they spend messaging the agency next door.
The WhatsApp AI CRM answers them straight away. It is not a chatbot that makes things up. It asks the few questions that matter (city, dates, guests, children's ages), then searches the same suppliers your website uses and sends back real options with real prices. The customer taps View & Book, lands on your website with everything already filled in, and pays there.
When a conversation needs a human, the customer taps "Talk to a person" or simply types "agent". The assistant goes quiet, the chat is marked as waiting, and your team gets a notification on their phone. That is the part most chat tools get wrong: automation for the routine questions, people for the ones that matter.
Key features
Replies in Seconds, Day and Night
The assistant answers at 2pm or 2am. It detects Arabic or English from each message and replies in the same language, so no enquiry sits unread overnight.
Live Prices, Not Guesses
Hotel, flight and Umrah prices come from your own website at the moment the customer asks, with your markup already inside. The price in the chat is the price on the site.
Tappable Booking Cards
Results arrive as photo cards with the price and key details. Each card has a View & Book button that opens that hotel, fare or package on your website with the dates and guests filled in.
Refine Without Starting Over
"With pool", "breakfast included", "free cancellation", "cheapest first", "under 500": customers narrow the same results in plain words instead of searching again.
Understands How People Write
Arabic and English, Arabic-Indic digits, Hijri dates like "15 Ramadan" and everyday phrases. An optional AI layer helps it read unusual wording; it never invents replies.
Human Takeover and Team Inbox
Chats waiting for a person are flagged and trigger a louder notification. Staff take over in one tap, reply from the shared inbox and hand the chat back to the assistant when done.
What customers can ask for on WhatsApp
The assistant covers the services your website sells, and you choose which ones are switched on. Makkah and Madinah hotels through Billbed, with Hijri dates shown back to the customer. Hotels worldwide through the suppliers connected to your site, such as RateHawk, Hotelbeds and WebBeds, in any city typed in Arabic or English. Flights through Duffel, one-way or return, with filters for cheapest, fastest, direct, time of day, airline and refundable fares. And the Umrah packages you publish on your website, filtered by price, stars, nights, departure city and month.
Booking and payment then happen on your website, which is where your checkout, payment gateway and vouchers already live. That keeps one source of truth for every booking, and the customer arrives with the exact option they tapped, already priced.
Why this beats a canned chatbot or a shared phone
Most "WhatsApp solutions" are one of two things. A menu bot that answers every question with the same list of buttons, or the WhatsApp Business app on one phone that three staff members pass around, with prices living in screenshots. The menu bot frustrates real buyers. The shared phone sleeps eight hours a night and forgets which customer was promised which price.
This works differently because it is wired into your booking website. Same suppliers, same markup, same currency rules. For worldwide hotels, currency and residency follow the customer's country code unless you set a fixed currency, so a customer can open the link from the chat and see the same number they were quoted.
Every chat becomes a lead your team can see
If you run click-to-WhatsApp ads on Facebook or Instagram, the weakest point has always been what happens after the click. An ad you paid for delivers a hot lead into a chat where nobody answers for four hours. Here the lead gets live options within seconds, and if they want to talk, the chat lands in front of a named person on your team.
Every conversation is kept in the CRM, owned by your agency rather than sitting on a staff member's personal phone. The inbox shows who is waiting, who is unassigned and which chats need a reply, so follow-up stops depending on memory. The full team inbox (assignment, notes, quick replies, roles and the mobile app) is described on the Travel Agency CRM page.
Official WhatsApp only, and you can keep your Business app
The CRM connects through Meta's official WhatsApp Business Platform. No unofficial WhatsApp Web tricks that get numbers banned. If your agency already uses the WhatsApp Business app, Meta's coexistence option lets you link that same number by scanning a QR code inside the app: you keep using the phone, messages you send from it show up in the CRM, and when you reply from the phone the assistant pauses in that chat.
When you first link, the CRM can import up to six months of chat history and your phone contacts (Meta only allows this within 24 hours of linking). You can also connect a brand-new number instead.
Frequently Asked Questions
Is this a real AI or a menu bot?
It is a guided booking assistant with buttons, backed by an optional AI layer that helps it understand free-form messages such as dates, guest numbers and hotel preferences. The AI only reads and interprets; it never writes replies on its own, so it cannot promise a price or a policy you do not offer.
Which languages does it reply in?
Arabic and English, detected from each message. It understands Arabic-Indic digits, Hijri months like Ramadan and phrases such as "two nights" written as one Arabic word. The CRM screens themselves are in Arabic with full right-to-left layout, with English on a toggle.
Do the WhatsApp prices match my website?
Yes. Searches run through your own website, with its suppliers, markup and currency rules, and every card links to that exact hotel, fare or package on your site.
Can customers pay inside WhatsApp?
Not inside the chat. The View & Book button takes them to your website with their dates and guests filled in, and they pay through your normal checkout. Your confirmation emails and vouchers work exactly as they do for any website booking.
When does a human take over?
Whenever the customer asks for a person, or whenever your team taps Take over on a chat. The assistant stays quiet in that chat until someone releases it, and waiting chats trigger a louder notification so nobody slips through.
Do I need a new WhatsApp number?
No. You can link your existing WhatsApp Business app number through Meta's official coexistence flow (app version 2.24.17 or newer) and keep using the phone, or connect a new number through Meta's sign-up window.
What does WhatsApp messaging cost?
Meta charges for certain WhatsApp message types, and its pricing for service messages is changing in October 2026. Those charges are paid to Meta, not to us, so check Meta's current rate card for your country. For most agencies the cost is small next to one lost booking.
