How to Choose Travel Agency Software: A 2026 Checklist

A 12-point checklist for choosing travel agency software in 2026: suppliers, payments, pricing, languages, B2B, mobile apps, data ownership and the questions to ask.

Short answer: choose travel agency software by checking twelve things: which suppliers it connects to, whether you use your own supplier accounts, payment gateways for your country, the real monthly cost and any per-booking fees, languages (including right-to-left Arabic and Urdu), a B2B portal if you have sub-agents, Hajj and Umrah support if you sell it, a mobile app, a back office your staff can use, WhatsApp integration, who owns your data, and how fast you can go live. Ask every vendor the same questions and compare the answers in writing.

Most agencies choose software after one demo and a price. Six months later they discover it cannot connect the supplier they need, charges a fee on every booking or cannot show Arabic properly. This checklist is the list we wish every agency used, including when they compare us with other platforms.

1. Which suppliers can it connect?

List the hotel, flight and tour suppliers you use or plan to use, such as RateHawk, WebBeds, Hotelbeds, TBO, Billbed, Duffel, PKFARE or Viator. Ask which are live today, not "on the roadmap". Ask whether results from several suppliers can appear in one search, because the same hotel is often cheaper on one of them.

2. Do you use your own supplier accounts?

Some platforms resell inventory under their own contracts. Others connect your accounts. With your own accounts, the rates and the supplier relationship stay yours if you ever switch software. Ask which model the vendor uses.

3. Does it support payments in your country?

Card payments with 3D Secure are the minimum. Check local options too: Safepay or bank transfer in Pakistan, MyFatoorah in the Gulf, and pay-at-office for customers who still prefer it.

4. What does it really cost?

Ask for the monthly price, the setup fee, any per-booking or percentage fee, and what happens when you grow. A low monthly price with a commission on every booking can cost far more than a flat plan once bookings pick up.

5. Can it show your languages properly?

If you sell to Arabic or Urdu speakers, check the whole flow in that language: search, checkout, confirmation email and voucher, all laid out right to left. Many platforms translate the menus and leave the voucher in English.

6. Do you need a B2B portal?

If other agencies sell your inventory, you need sub-agent logins, separate rates or commission per agent, credit limits and reports by agent. Ask to see an agent's screen, not only the admin's.

7. Does it handle Hajj and Umrah properly?

Umrah packages need prices per room type (double, triple, quad), seat limits per departure, Makkah and Madinah hotels with distance to the Haram, and group bookings. A generic tour module rarely covers this. We cover it in depth in how to choose Umrah booking software.

8. Is there a mobile app in your name?

Returning customers book faster from an app on their phone. Ask whether the vendor can give you an Android and iPhone app in your agency's name, how it is published and whether it stays in step with your website automatically.

9. Can your staff run it without a developer?

Ask a staff member to add a package, change a markup and find a booking during the demo. If it needs a developer for daily work, the real cost is higher than the price.

10. Does it work with WhatsApp?

Most travel enquiries arrive on WhatsApp. Check whether chats can reach a shared team inbox, whether replies can include live prices, and whether a chat can turn into a booking on your site without retyping.

11. Who owns your data and your domain?

Your customers, bookings and content should be exportable, and your website should run on your own domain. Ask what happens to both if you leave.

12. How fast can you go live?

A white-label platform can usually be live in days. A custom build usually takes months. Ask for a realistic date, including supplier approvals, which often take longer than the software itself.

Where Travora Hub fits

We build a white-label booking platform for travel agencies, so we are one of the options you might be comparing. You connect your own supplier accounts, pay a flat monthly plan with no per-booking fee, get Arabic and Urdu right to left, a B2B portal, Hajj and Umrah packages and an Android app in your name, with iPhone on request. See our pricing or every feature, and use the checklist above on us too.

Frequently asked questions

What is the best travel agency software?

There is no single best one. The best software for you connects the suppliers you use, takes payments in your country, shows your customers' languages properly and fits your budget without a fee on every booking. Use the checklist to compare.

Should I build my own booking software?

Only if your business model is truly unusual. A custom booking website usually costs $15,000 to $50,000 and months of work, plus maintenance. Most agencies get further by spending that money on marketing.

How long does it take to switch travel agency software?

Moving to a white-label platform usually takes days for the website itself. Plan extra time for supplier account approvals and for moving your existing customer list.
