How Umrah agencies take bookings online, step by step: package pages, room-sharing prices, seat limits, Makkah and Madinah hotels, payments and WhatsApp.
Ask any Umrah agency owner when families decide to book, and you will hear the same answer: late at night, after a long family discussion, usually on a phone. Ask when the agency's office is open, and the answer is very different.
That gap is what Umrah technology is for. Not apps for the sake of apps, but making sure a family that decides at midnight can see the real price, pick a room and reserve their seats before they change their minds. This guide walks through what "Umrah tech" means for an agency in practice, and how to move your Umrah bookings online without losing the personal service your pilgrims expect.
What changes when Umrah booking goes online
Most Umrah agencies still sell the same way: a poster or a Facebook post with "from" prices, a phone number, and a long WhatsApp conversation. The family asks about the hotel distance, the room sharing, the children's price and the dates. Someone in the office answers each question, by hand, for every family.
An Umrah booking system puts all of those answers on one page for every package, and lets the family book without waiting. Your team still talks to pilgrims; they just spend that time on real questions instead of repeating prices.
Step 1: Build package pages that answer the real questions
A good Umrah package page answers, without a phone call, everything a family asks before paying:
- The hotels in Makkah and Madinah, with photos and the walking distance to the Haram and to Masjid an-Nabawi. Distance is often the first thing pilgrims compare.
- Nights in each city and the travel dates.
- What is included: flights, visa support, transfers, ziyarat, meals.
- A day-by-day itinerary, so a first-time pilgrim knows what to expect.
- Answers to common questions about the package, written once and shown to everyone.
Pages like this also help you on Google. A detailed package page with real hotel names, prices and questions answered is exactly what people searching "Umrah packages" want to find.
Step 2: Price by room sharing, not "from" prices
Umrah pricing is per person, and it depends on how many people share a room. Quad sharing is cheapest, triple costs more, double more again. Children are usually priced separately. A single "from" price on a poster hides all of that, and families feel tricked when the real quote arrives.
Your booking system should show a price for each room type and calculate the total for the actual family: two adults and two children in a quad room, for example. When the price on the screen is the price they pay, families book with confidence and your team stops re-quoting.
Step 3: Use hard seat limits for every departure
Group Umrah departures have a fixed number of seats, set by your flight block and your hotel allocation. Overselling a group is one of the worst things that can happen to an Umrah agency: someone has to be told they cannot travel.
Set a seat limit for each departure and let the system count down as bookings arrive. Showing "only 6 seats left" is honest, and it helps undecided families decide. When a departure is full or its date has passed, it should disappear from your site automatically, so nobody books a trip that no longer exists.
Step 4: Connect live hotel rates for Makkah and Madinah
Not every pilgrim wants a fixed package. Many families book their own flights and just need hotels near the Haram. For that, live hotel rates matter. Suppliers such as WebBeds, TBO and Billbed are strong in Makkah and Madinah, and RateHawk and Hotelbeds add depth. Searching several at once shows your customers the best available price, with your margin already included. Our Billbed guide covers the Saudi supplier many Umrah agencies use.
Step 5: Take payment the way your pilgrims prefer
Umrah customers pay in very different ways depending on the country. In Pakistan, local PKR payment through a gateway like Safepay matters. In the Gulf, MyFatoorah and local cards. In the UK, US and Europe, international cards with 3D Secure. Some families will always want to pay at your office. Your system should support online payment where it fits and let you take the booking first and collect payment at the office when that is what the family wants.
Step 6: Speak your pilgrims' language
An Umrah website in English only is closing the door on many of your customers. Arabic and Urdu, laid out properly from right to left, make families feel the site was built for them, not translated as an afterthought.
Step 7: Keep WhatsApp, but make it faster
Online booking does not replace WhatsApp for Umrah agencies. Pilgrims will always message you. The difference is what your team sends back. Instead of typing a price, they send a link to the exact package and room type, ready to book. With a WhatsApp CRM connected to your website, a booking assistant can even answer common questions and share live Umrah and hotel prices as cards. Our guide to WhatsApp for travel agencies goes deeper.
Step 8: Send professional documents
After booking, families want something in their hands: a confirmation with the hotels, dates, room type, flights and baggage allowance. A branded PDF voucher, generated by the system, looks professional and saves your team from building one in Word for every family.
What Umrah software does not do
To be clear about the limits: booking software does not issue Umrah visas or Nusuk permits. Those still go through your licensed Saudi partners and the official channels. What the software does is everything around that: showing your packages, pricing them correctly, protecting your seats, taking the booking and keeping your records straight.
How to choose
When you compare Umrah booking software, test it with one of your real packages. Can you enter quad, triple and double prices and a child price? Does the seat count go down after a test booking? Does the page work in Urdu or Arabic on a phone? We wrote a longer checklist in how to choose Umrah booking software.
Questions agencies ask
Is Umrah booking software only for big agencies?
No. Small agencies benefit most, because they have the fewest people to answer the phone. A monthly platform costs far less than one missed group booking.
Can sub-agents in other cities sell my Umrah packages?
Yes, with a B2B portal. Agents get their own logins, sell your packages at the rates you set, and every booking counts against the same seat limit.
Can I handle Hajj packages the same way?
Yes. Hajj packages use the same structure: hotels, room-type prices, seat limits and itineraries. See our Hajj and Umrah software page.
How long does it take to go live?
Most agencies are live in about 48 hours. Adding your first packages takes an afternoon.
